Voice to Proposal: Dictate the Job From the Driveway
ProposalPro now takes dictation: talk through the job on your phone after the walkthrough, review the transcript, and the proposal form fills itself. Included on every plan, free included, and the AI only writes what you actually said. Unknowns go in a visible Assumptions section, never invented.

The best time to write a proposal is the worst time to type one: you've just finished the walkthrough, the scope is fresh in your head, the numbers are roughed out — and you're standing in a driveway holding a phone. So we built for that moment. ProposalPronow takes dictation: tap the mic, talk through the job the way you'd tell your estimator, and the proposal form fills itself. It's included in the $9/month Pro plan.
How it works
- Log in on your phone and tap Dictate a job — right on the dashboard.
- Talk for up to five minutes: the trade, the scope, materials if you know them, your price, payment terms, warranty. Spoken numbers are fine — "twenty-two thousand all in, half up front" comes out as $22,000 with a 50% deposit.
- Read the transcript. Fix anything the mic misheard — you approve the words before anything else happens.
- Tap Fill the form. Client name, job description, line items, total, terms, warranty, even a suggested template land in the right fields.
- Review the numbers and hit Generate — same proposal, same e-signature link, same everything as typing.
There's a live demo of the whole flow on the homepage— scroll to "or just say it."
The part that matters more: it only writes what you said
Dictation has an obvious failure mode, and it's not transcription accuracy — it's what the AI does with a thin description. A proposal is a commitment document. If you say "replace the shingles" and the software pads the scope with a specific shingle brand, an underlayment spec, and a fastener schedule you never mentioned, it hasn't saved you work. It has created liability you now have to find and delete before your client holds you to it.
So our generator is grounded, deliberately: materials, brands, quantities, procedures, and warranty terms appear in the document only if you stated them. Where a complete job needs a detail you didn't give, the proposal says so honestly — in an Assumptions & Clarificationssection your client can see: "Shingle brand and color: to be confirmed before ordering." That reads more professional than fake precision, because it is. The same rule has always applied to your pricing: the investment table is built from the numbers you provide, and the AI never invents a line item.
What about the tools that sell voice for $149/month?
Voice-to-estimate is the headline feature of some genuinely good platforms — Handoff sells voice transcription on every tier, starting at $149/month. The difference is what the AI is doing with your words. Handoff's AI prices the job for you — that's estimating software, and if you want generated numbers, it's worth its price (our honest comparisonsays exactly when). But if you already know your price — most trades do — you don't need an estimating platform to get the voice workflow. You need the document. Dictation-to-signable-proposal is a $9 problem, and now it's included at $9.
Who this is for
- The contractor who prices three jobs a week from the truck and types none of them up until 9pm.
- The estimator whose voice memos never make it into documents.
- Anyone who talks through a job better than they type it — which, honestly, is most of the trades.
Voice input is live now on every plan. The free plan includes three proposals a month, no card required, and you can dictate all three. Pro ($9/month, 7-day free trial) adds unlimited proposals, all six templates, your logo, and clean PDFs.
Frequently asked questions
How does voice input work in ProposalPro?
On any plan, including free, tap Dictate a job on your phone, talk through the job for up to five minutes, and review the transcript. One tap then fills the proposal form — client, job description, line items, total, payment terms, warranty — and you generate the proposal as usual.
Does the AI make up details you didn't say?
No. Generation is grounded in your input: materials, brands, quantities, and warranty terms appear only if you stated them. Anything a complete job still needs is listed in a visible Assumptions & Clarifications section instead of being invented — and the pricing table is always built from your numbers.
How well does it handle spoken numbers?
Spoken prices are normalized: "twenty-two thousand all in" becomes $22,000, and if you correct a figure mid-dictation, the last stated value wins. You review the transcript and the filled form before anything is generated.
How much does voice input cost?
It's included on every ProposalPro plan, including the free one (3 proposals a month, no card). No per-user pricing and no separate voice tier. Estimating platforms sell voice transcription on plans starting around $149/month; if you already know your price, the dictation-to-signable-proposal workflow is a $9 problem.
